Keep Requisitions Moving Between Teams
A requisition can be approved and still go nowhere. The hiring manager assumes recruiting is preparing the launch. The internal recruiter is waiting for the recruitment process outsourcing (RPO) partner. The RPO team is missing details needed to publish the job.
These stalls often happen between teams rather than within them. Preventing them requires more than reminders: every transition needs a clear owner, a complete information package, and a visible next step.
For employers working with Redwood Technology Solutions, a structured handoff approach can connect RPO support, job posting, resume search, and recruitment media buying without letting responsibilities disappear between inboxes.
Define What Makes a Requisition Ready
Establish a minimum intake standard
Before a requisition moves into execution, confirm that the receiving team has enough information to act. An approved opening is not necessarily a posting-ready opening.
A practical intake checklist should include:
- Approved job title, description, location, and work arrangement
- Hiring manager and internal recruiting contacts
- Required qualifications and agreed screening criteria
- Compensation information and posting disclosures, where applicable
- Approved posting channels, budget, and launch priorities
- Application destination and requisition tracking identifier
- Relevant compliance instructions and documentation requirements
Missing information should trigger a specific request to a named person, not a vague “pending” status. Separate true launch blockers from details that can be resolved without delaying authorized work.
Name the next accountable owner
Each transition should identify who sends the work, who accepts it, and who resolves exceptions. A shared queue can support visibility, but it does not replace individual accountability.
For example, the internal recruiter may approve the final description, the RPO coordinator may confirm intake completeness, and the posting specialist may verify publication. The hiring manager remains responsible for timely decisions assigned to them.
Use a compact handoff record
Create one reusable record for each requisition rather than a different email format for every team. Include the current stage, accountable owner, next action, due date, unresolved questions, and links to approved materials. Add a backup contact for absences.
For a warehouse opening, “ready for posting” should point to the approved shift schedule, location, application link, and channel authorization. If the shift remains undecided, name the hiring manager as the decision owner and state which activities can proceed meanwhile.
Make the Handoff Visible
Require acknowledgment, not just delivery
Sending an email or assigning a task does not prove that the receiving team can proceed. Use a simple acknowledgment: accepted, returned for clarification, or blocked with a named dependency.
Agree on reasonable response and escalation windows based on hiring priorities and team capacity. If a handoff misses its checkpoint, escalate the unresolved decision rather than forwarding the entire conversation without context.
Keep approvals, status updates, and source links in the designated system of record so teams do not have to reconstruct decisions from separate messages.
Connect posting and sourcing activities
Channel execution creates additional handoffs. Craigslist job posting and other manual job posting work need confirmed content, application instructions, and publication checks. Recruitment media buying also requires clear budget authority and a process for approving changes.
Resume search should use the same agreed qualifications as the live posting. When requirements change, update downstream teams together so sourcing and advertising do not continue against different versions of the role.
Verify the launch before closing the task
A submitted posting is not necessarily a live, usable posting. Before marking execution complete, check:
- The published title, location, and description match the approved version.
- The application link opens the correct requisition.
- Channel-specific formatting has not obscured important requirements.
- Publication evidence and any unresolved errors are recorded.
If a posting is rejected or delayed, assign the correction and notify the recruiter. Avoid letting a failed channel appear as completed work in the shared queue.
Build Compliance Documentation Into the Workflow
For OFCCP compliance job posting support, clarify which obligations apply to the employer and which activities each party will perform. Requirements can vary, so avoid treating a general distribution checklist as a guarantee of compliance.
Assign responsibility for required listing or distribution steps, evidence collection, record retention, and exception review. Keep submission confirmations and other relevant records accessible under the employer’s established policies, and involve qualified compliance or legal advisers when interpretation is needed.
Plan for Changes and Closure
Requisitions can change after launch. Establish who authorizes revised qualifications, spending adjustments, pauses, and cancellations. Record the effective date and identify every affected posting and sourcing assignment.
For example, when a role changes from remote to onsite, the recruiter should approve revised language before posting specialists update advertisements and sourcing teams adjust outreach. Confirm completion across channels rather than assuming one system update reaches every destination.
At closure, assign responsibility for removing active advertisements, stopping authorized spend, ending sourcing work, and preserving required records. This final handoff prevents teams from continuing work on an opening that is no longer available.
Review the Waiting Points
Review aging requisitions by their current dependency: intake clarification, approval, publication, sourcing, or hiring-manager feedback. This makes it easier to fix recurring workflow gaps rather than simply asking everyone to move faster.
Track time spent waiting separately from time spent executing. During regular reviews, select one recurring bottleneck, agree on a workflow change, and check whether the next requisitions move through that transition more reliably.
