Fix Location Confusion Before It Spreads
A job appears as “Chicago” on your careers page, “Remote” on a job board, and “Naperville” in a recruiter’s outreach message. Candidates are left wondering where they would actually work—and whether applying is worth their time.
Inconsistent job locations often come from ordinary workflow gaps: copied postings, outdated templates, platform defaults, or unclear instructions. For employers managing multiple recruiting channels, a small discrepancy can quickly become a recurring problem.
The solution is not simply to correct one listing. It is to establish clear location information and carry it through every posting, search, and advertising workflow.
Start With One Approved Location Record
Before distributing a requisition, confirm its location details with the hiring manager. Store the approved information in your applicant tracking system or another shared source of truth.
Separate the workplace from the hiring area
An office address, a candidate search radius, and an eligible remote-work region are different things. Treating them as interchangeable creates misleading listings.
For each role, document:
- The actual worksite city and state, when applicable.
- Whether the position is onsite, hybrid, or remote.
- Any geographic restrictions for remote employees.
- Required onsite attendance or travel expectations.
- The approved wording for candidate-facing location details.
- Who can approve changes and update active postings.
Avoid using “remote” as shorthand for flexibility when regular office attendance is required. Likewise, do not label a position with a nearby major city without making the actual worksite clear.
Write a reusable location statement
Create a short statement that recruiters and posting teams can reuse without interpretation. For example: “This hybrid position is based in Naperville, Illinois, with three days per week in the office. It is not fully remote.” Confirm that the schedule reflects the hiring manager’s actual expectations before publishing.
For a remote position, specify approved hiring states or regions rather than saying “work from anywhere.” If eligibility is still undecided, resolve it before distributing the opening.
Translate Consistently Across Recruiting Channels
Different platforms handle location fields differently. Some offer structured remote-work options; others rely heavily on city selections and description text. Consistency means preserving the same facts, even when the formatting changes.
Review manual and Craigslist job postings
Manual job posting introduces opportunities for copy-and-paste errors. Use a posting checklist that compares the selected location, headline, description, and application destination against the approved record.
For Craigslist job posting, select an appropriate geographic area and category under the platform’s current rules. Clearly state the actual work arrangement in the description rather than relying on the posting area to explain it.
Check what candidates actually see
Preview the published listing, not just the submission form. A platform may display a selected metro area more prominently than the worksite written in the description.
Before marking a posting complete, verify:
- The location shown in search results matches the role’s arrangement.
- Remote or hybrid labels do not contradict the description.
- The application link opens the correct requisition.
- The application page repeats the approved location details.
- Mobile previews do not hide essential geographic restrictions.
If a platform cannot represent the location accurately, document the limitation and decide whether a clearer description is sufficient or another posting destination is needed.
Align resume search and recruitment media buying
Resume search criteria should reflect where candidates can reasonably perform the job. A search centered on an office may be appropriate for an onsite role, while a remote role may require a broader—but still clearly defined—eligible geography.
In recruitment media buying, distinguish audience targeting from job location. Advertising to candidates in surrounding communities does not change the worksite. Keep ad copy and landing pages aligned so candidates understand the opportunity before applying.
Make Location Checks Part of Compliance Workflows
Accurate location information also supports organized compliance-related posting practices. For OFCCP compliance job posting, location details can help teams evaluate applicable listing obligations and route openings appropriately.
Requirements depend on the employer, position, and applicable rules. Location consistency alone does not establish compliance. Maintain records of approved job details, posting destinations, corrections, and relevant dates, and consult qualified compliance counsel when requirements are uncertain.
Assign Ownership and Audit Active Listings
Choose one owner to coordinate location changes across channels. When a hiring manager changes the work arrangement, update both the source record and every active listing—not just the careers page.
A recruitment process outsourcing partner can help standardize these handoffs and checks. Periodically compare live postings with approved requisitions, prioritizing roles with multiple worksites or changing remote-work expectations.
Close the loop on corrections
Maintain a distribution log with the requisition ID, posting URL, channel owner, publication date, and correction status. When an opening changes from remote to hybrid, use that log to identify affected listings, ads, outreach templates, and external partners.
Check whether syndicated listings need a new feed update or a separate correction request. Verify the change after it appears publicly; submitting an edit is not the same as confirming it is live.
Notify recruiters about the change so they can clarify expectations with candidates already in process. Record recurring errors by source, such as a template or platform default, and fix the underlying workflow rather than repeatedly correcting individual postings.
